What is MEA Apostille?
MEA Apostille is an authentication issued by the Ministry of External Affairs, Government of India, under the Hague Convention of 5 October 1961 on the Abolition of the Requirement of Legalisation for Foreign Public Documents.
The apostille is a stamp or sticker affixed to the back of an Indian public document (like a birth certificate) certifying the authenticity of the signature, seal, and authority of the official who issued the document.
Once apostilled by MEA, the birth certificate is automatically valid in all 124+ Hague Convention member countries — no further authentication, embassy attestation, or legalisation is required by these countries.
Why is MEA apostille required for NRIs?
Without MEA apostille, an Indian birth certificate is just a domestic Indian document — foreign immigration authorities, schools, employers, and embassies will not accept it.
The apostille confirms to foreign authorities that the Indian document is genuine, eliminates the need for embassy legalisation in Hague countries, is mandatory for US green card, Canadian PR, UK ILR, Australian PR, Schengen visas, German residence permits, and most foreign immigration applications, is required by most international schools enrolling NRI children, required for OCI applications in some cases, and required for inheritance and property matters when used in Hague countries.
How does MEA apostille work? What's the full process?
The MEA apostille process has three layers of authentication that happen in sequence.
Step 1: Notarisation — a notary public attests the document or a true copy of it.
Step 2: State-level authentication — either the SDM (Sub-Divisional Magistrate) office or the Home Department of the issuing state authenticates the notary's signature. The choice between SDM and Home Department depends on the state of issue.
Step 3: MEA Apostille — submitted to MEA through the SARTHI portal. MEA verifies the state authentication and affixes the apostille sticker. Government fee is ₹50 per document. The entire chain takes 5-10 working days when handled by professionals. Direct submission to MEA without prior state authentication is no longer accepted (since 2019).
Can I do MEA apostille myself, online?
The SARTHI portal (started in 2024) does allow online submission of documents for apostille — but the actual physical apostille sticker still has to be affixed at MEA's authorised collection centres. Plus, the documents must already be notarised and state-authenticated before MEA accepts them. So while "online apostille" is partially true, you cannot complete it 100% remotely from abroad.
Practically, NRIs use either a relative in India to handle the physical submission, or a professional service like India For NRI to handle the entire chain.
How long is MEA apostille valid?
The apostille itself does not formally expire. However, the receiving authority abroad may have its own validity requirements. USCIS generally accepts apostille issued within the past 12 months for green card applications.
IRCC accepts apostille within 6-12 months. UK Home Office generally accepts apostille without strict time limit, but recent is better. German immigration often requires apostille within 6 months. Schengen visa applications require apostille within 6 months.

What does the MEA apostille sticker look like?
The MEA apostille is a square sticker (approximately 9cm x 9cm) affixed to the back of the document.
It contains the word "APOSTILLE" at the top, reference to the Hague Convention of 5 October 1961 (in French), 10 numbered fields in English and French including country of issue, name of signatory, capacity in which they acted, name of authority that sealed the document, place and date of apostille, apostille number, name of the apostille officer, signature and seal of MEA. The unique apostille number is verifiable online at the MEA website. The sticker has anti-tamper security features.
How can I verify if my MEA apostille is genuine?
Visit the MEA's online verification portal at apostille.mea.gov.in and enter the apostille number, date of issue, and country of destination.
The portal returns confirmation of authenticity within seconds. Foreign immigration authorities also use this portal to verify Indian apostilles. This is one of the main reasons MEA apostille has high acceptance globally.
What if I need apostille on multiple documents at the same time?
You can apostille multiple documents (birth certificate, marriage certificate, education certificates, PCC) in a single MEA submission. Each document is individually apostilled with its own apostille number.
